Quick-start checklist: from signup to first invoice
Here is the fastest path from a fresh account to getting paid. Each step takes a few minutes, and they are in this order for a reason — steps 1 and 2 are inherited by everything you send afterwards, so doing them first saves re-sending an unbranded invoice.
1. Fill in your business information
Go to Settings and complete the Business Information card — company name, owner and address. This appears on every invoice you send. See set up your business profile.
2. Upload your logos
Still in Settings, upload an Avatar logo (square) and a Header logo (wide). Your header logo appears at the top of invoices and in your client portal, so this single upload brands everything a client sees at once.
If you do nothing else on this list before sending your first invoice, do this one. An invoice with your logo on it is the difference between looking like a business and looking like a spreadsheet.
3. Add your clients
Go to Clients and either add them one at a time with New client, or bring your whole list over with Import — Velosiq reads CSV and Excel files and maps the columns for you. See importing clients from a spreadsheet.
You do not need your entire client list to get started. One real client is enough to send a real invoice, and importing the rest is a five-minute job you can do whenever.
4. Pick an invoice template
Visit Settings → Invoice Templates and choose the design that fits your brand. The template you pick is used on the invoice screen, on emailed invoices, in PDFs and in the client portal, so they all match. See invoice templates.
5. Connect Stripe (optional, recommended)
In Settings → Profile → Payments, click Connect Stripe to accept payments. Once connected you can charge cards directly and let clients pay through secure checkout, which measurably shortens how long invoices sit unpaid. Genuinely optional — if you take cash, cheque or bank transfer you can record those payments by hand and skip this entirely.
6. Send your first invoice
Go to Invoices → New Invoice, pick a client, add your line items and click Send. The invoice is emailed in your chosen template, and its status moves from Draft to Sent automatically. See creating an invoice.
Then, at your own pace
That is the core loop — client, invoice, payment — and it is all some businesses ever need. When you want more:
- Proposals to win the work before there is anything to invoice
- The calendar to schedule it, with Google Calendar sync
- Expenses to track what it costs you
- Follow-up workflows so chasing happens without you
- Analytics to see how it is all going
A good way to spend the trial is to run one real job through the whole chain rather than exploring feature by feature.
