Invoice templates

Your invoice template controls how invoices look everywhere a client sees them: the emailed invoice, the downloadable PDF, and the client portal. Pick one in Settings → Invoice Templates — Settings is in your user menu, and Invoice Templates is one of its tabs.

The designs

Ten templates, from classic to bold: Classic Navy, Modern Clean, Professional Navy, Gradient Coral, Gradient Azure, Minimal Violet, Creative Purple, Elegant Gold, Bold Emerald, and Minimal Mono.

Each card shows a live preview with sample data, so you can see exactly how your invoices will look before committing. Click Use this template and it applies immediately — no save button needed.

Switching is safe and retroactive

The template is a setting on your business, not a property saved onto each invoice. Change it and every invoice re-renders in the new design — including ones you sent last year, the next time anyone opens the PDF or the portal copy.

Nothing about the invoice itself changes: numbers, line items, dates, payments and status are untouched. Only the presentation moves. So switching mid-year is a cosmetic decision, not an accounting one — though a client comparing two invoices from different months will notice, which is an argument for settling on one early.

PDFs already downloaded by a client are unaffected, because those files left your control the moment they were saved.

Every template is labeled with the logo it displays:

  • Header logo templates show your wide logo across the top
  • Square logo templates use your compact square mark

Upload both in Settings and any template will look right.

This is the single most common reason an invoice looks wrong: the design is fine, but it wants a logo shape you haven't uploaded. Uploading both once means you can switch templates freely afterwards without checking.

Plan availability

Templates unlock progressively by plan, in the order shown on the page:

Business already reaches every design currently shipped; the unlimited setting on Team is what keeps it that way as designs are added. If a design you want is on a higher plan, you'll see a note when you select it — see Choosing your plan.

Status stamps

Whatever template you use, invoices carry a diagonal status stamp when relevant — PAID, PARTIAL, OVERDUE — on the PDF and in the portal, so there's never confusion about where things stand.

Emailed invoices are the deliberate exception. An inbox is not a print surface, so the email version uses a plain banner instead of a diagonal stamp laid across the header, and it only appears where it carries information — paid, partially paid, past due or cancelled. A routine unpaid invoice arrives without one, because "this is an invoice" is not news.
