Create and manage appointments
Available on all current plans (Solo, Business and Team).
Creating an appointment
Click any empty slot on the calendar (or drag across a time range) and fill in:
- Title — what's happening ("Kitchen consult", "Site visit")
- Client — optional; linking one puts the appointment on the client's profile and enables reminder emails to them
- Start and End times
- Assets — optional; the vehicles, tools or gear this job needs (see below)
- Notes — details for you and your team
- Status — see below
- Color — pick from six swatches to categorize at a glance
Attaching assets
Pick any number of your assets in the Assets field so everyone can see what a job needs — and so you can spot when two jobs want the same van.
As soon as the start and end times are set, Velosiq checks every asset against the rest of your calendar. An asset already booked for an overlapping time is marked Unavailable in the list, with the appointment that holds it, and a warning appears once you select it.
The warning does not block the save. Sharing an asset across two overlapping entries is sometimes exactly right — a placeholder plus the real job, or two crew splitting a vehicle for part of a day — so Velosiq tells you and lets you decide. Nothing is ever refused because of an asset clash.
Two more things worth knowing:
- Only cancelling releases an asset. A completed or no-show appointment still happened at a real time, so it keeps its hold. Set an appointment to Cancelled and its assets free up immediately.
- All-day appointments hold their assets for the whole day, not just the hour they sit on.
To see where a single asset is committed, open it from Assets — its Schedule section lists every appointment it is attached to. You can also filter the calendar itself to one asset using the Asset dropdown above the grid.
Asset attachments are for your team only. They are never shown to clients on the booking page or in the client portal.
Appointment statuses
| Status | Meaning |
|---|---|
| Scheduled | On the books (the default). These appear on your dashboard and get reminder emails. |
| Completed | It happened. |
| Cancelled | It's off. |
| No-show | The client didn't turn up — useful history when a pattern emerges. |
Update the status by clicking the appointment and editing it. The full status history is visible on the client's Appointments tab.
Editing and deleting
Click an appointment to edit any field, or use the Delete button in the dialog. Moving and resizing can also be done by dragging directly on the calendar.
Where appointments show up
- Dashboard — today's scheduled appointments, plus tomorrow's count
- Client profile → Appointments tab — that client's full history
- Google Calendar — if you've connected it
- Asset detail page → Schedule — every appointment a given asset is attached to
