Track your assets and equipment
Vehicles, equipment, tools, computers — the Assets page is your equipment register, available on every plan.
Adding an asset
Click New Asset:
- Asset Name (required) — "2021 Ford Transit", "Excavator #2"
- Photo (optional) — a picture of the asset, so you can tell the two black camera bodies apart at a glance
- Category — Vehicle, Equipment, Tool, IT Hardware, Furniture, Other, or type your own
- Status — Active, In Repair, Retired, or Lost
- Asset Tag / ID and Serial Number — for physical labeling and theft/insurance records
- Condition — Good, Fair, or Poor
- Location — which truck, site, or shelf it lives on
- Purchase Date and Purchase Price — the foundation of ROI tracking
- Current Value — what it's worth today
- Warranty Expiry and Next Service Date — these power alerts
- Linked Client — for equipment dedicated to (or installed at) a particular client
- Notes
- Add to every new invoice automatically — off by default; see below
Assets you use on every job
If a particular asset is part of nearly every job — a work truck, a tool you never leave behind — turn on Add to every new invoice automatically. That asset is then linked for you each time you start a new invoice, instead of you searching for it every time.
It arrives with Show on invoice off, exactly like an asset you add by hand, so it stays internal tracking unless you switch it on for that invoice. You can remove it from any invoice where it does not apply, and existing invoices are never changed — the automatic link only applies to invoices you create from then on.
Scheduling an asset
Open any asset and its Schedule section lists every appointment it is attached to, newest first, so "where is the van on Thursday?" is one click away.
You attach assets from the other end — on the appointment itself, where Velosiq also warns you when an asset is already booked for an overlapping time. The warning never blocks the save; it just makes the clash impossible to miss.
The asset list
Three stat cards top the page — Total Value, Purchase Cost, and Warranty Expiring Soon (next 30 days) — above a searchable list (name, tag, serial, client) with category and status filters. Each row shows the asset's photo next to its name, and overdue service dates show in red.
Statuses

Photos
Every asset can carry one photo. Add it when you create the asset, or from the asset's own page at any time — Add photo, or Replace to swap it and Remove to clear it.
The photo saves the moment you pick it. It is not part of the Edit / Save Changes cycle, so you do not need to be editing the asset to change it.
Once set, the photo appears beside the asset's name in the asset list and in the asset picker when you attach equipment to an appointment — which is the point: identifying "the silver one" is faster than reading serial numbers. Photos are private to your business; they are only ever visible to people signed in to your account, and never appear on invoices or in the client portal.
Large photos are shrunk in your browser before they upload, so a full-size phone picture is fine.
Editing
Open any asset and click Edit — every field updates inline on the detail page. That page is also home to the asset's photo, the maintenance log and the asset's revenue tile.
Plan limits
Asset counts follow your plan: 10 on Solo, 50 on Business, unlimited on Team.
