Appointment booking through the portal

Available on the Business and Team plans.

The Book an Appointment section of the client portal lets an existing client pick a time without phone tag.

It uses exactly the same availability rules as your online booking page — the same weekly hours, the same gaps, the same blocked dates, the same protection against double-booking. The only difference is that the portal already knows who the client is, so they never type their name or email.

Set it up first

The portal booking section appears only once you have set up online booking in Settings → Booking. Until then it is hidden, because there would be no hours to offer.

What the client does

  1. Opens their portal link
  2. Picks a day and an open time from the grid
  3. Adds a note if they want to — gate codes, symptoms, anything useful
  4. Confirms

Times are shown in the client's own timezone, with a switcher, so there is no mental arithmetic.

What happens on your side

The booking arrives as a Scheduled appointment, already linked to that client:

  • It appears on your calendar immediately
  • If it's for today, it shows in the dashboard's Upcoming Appointments
  • It's listed on the client's profile under their Appointments tab
  • You get an email telling you who booked and when
  • If you've enabled appointment reminder emails, the client gets the same reminder as any other appointment

Because the slot came from your own hours, there is nothing to triage — it is a confirmed appointment, not a request. If you still want to move it, drag it to a better time and let the client know.

Bookings can't collide

A client can only choose from times that are genuinely free. If two people are looking at the same slot, only the first to confirm gets it — the other sees it disappear and picks again.

Note that Velosiq does not read your Google Calendar, so anything living only there will not block a slot. See your online booking page for the full picture.
