Client profiles and activity notes

Click any client's name to open their profile — the full picture of your relationship in five tabs.

Overview

Contact details (business, email, phones — email is click-to-send), the client's address, and the free-form Notes field from their record. The header shows their status and gives you three shortcuts: New Invoice (opens the invoice form with this client pre-selected), Portal link, and Edit.

Portal link is where you hand the client their own page — Email to client sends them a branded email with a button straight to it, Copy link puts the address on your clipboard. It appears on the Business and Team plans; see share the client portal.

Timeline

Everything that has happened with this client, and everything still scheduled, in one chronological stream — invoices, payments, emails, appointments, proposals, notes and profile changes, with a NOW marker separating upcoming from past. See the client timeline for the full breakdown.

Notes

A running list of notes about this client. Type a note and press Add Note (or Ctrl/Cmd + Enter). Each note shows who wrote it and when.

You'll see two kinds of entries:

  • Your notes — added by you or your team; you can delete these
  • System entries — automatic records Velosiq writes, marked with a "System" label; these are permanent so your history stays trustworthy

Use notes for call summaries, meeting notes, preferences — anything you'd want the next person (or future you) to know. They also appear on the Timeline, in context with everything else happening at the time.

Invoices

Every invoice for this client, with a quick Total billed and Paid summary at the top. Each row links straight to the invoice.

Appointments

The client's appointment history and upcoming bookings, with times and statuses (Scheduled, Completed, Cancelled, No-show).

Tip: The New Invoice button on a client's profile is the fastest way to bill a repeat customer — the client is already selected when the form opens.
