Team members and roles

Available on the Business plan (3 team members) and the Team plan (10).

The three roles

Role Can do
Owner Everything — including inviting, editing and removing team members and changing roles. The owner is whoever created the business.
Admin Day-to-day everything, plus inviting new members and opening the activity log.
Member Day-to-day everything — clients, invoices, projects, scheduling.

What roles do and do not control

All three roles share the same working toolset. A member can create clients, raise invoices, record payments, run projects and see your revenue reports exactly as an owner can. The differences are about managing the account itself, not about walling off parts of the app.

That is worth being explicit about, because it is a real difference from some other platforms. There is no per-module permission system — you cannot give someone invoicing but withhold reporting, or hide financials from a particular person. If somebody has a login, they can see the business.

The two things roles actually gate:

  • Managing the team — only owners and admins invite, edit or remove people
  • The activity log — only owners and admins can open it, so members use the app normally but cannot review what colleagues did

On projects, owners and admins can also remove any feed post, while members manage their own.

The practical implication: invite people you would be comfortable showing the books to. For anyone else — a subcontractor on one job, a bookkeeper who needs a single figure — sending them what they need is the better answer than a seat.

Inviting someone

  1. Click Invite Member and enter their name, email and role (Member or Admin).
  2. They receive an email — "You have been invited to join Velosiq" — with a secure link.
  3. They set their password on the invite page and sign in.

Invite links are valid for 7 days. Until accepted, the person shows as Pending invite on the team list. Each invitation must use an email address not already registered with Velosiq — if a colleague already signed up on their own, they will need to use a different address, since an existing account cannot be absorbed into your business.

Managing the team

As the owner you can Edit (name, role) or Remove any member from the ⋯ menu. A few guardrails keep things sane:

  • You cannot edit or remove yourself
  • There is exactly one owner — the role dropdown offers Admin and Member only

Removing someone is permanent and confirmed first. It revokes their access immediately. Work they contributed — project posts, time entries, the history behind them — stays in place, attributed to a former team member, so removing a leaver never blanks out the record of what they did.

Seats

The Business plan includes 3 users and the Team plan 10. The usage meters show seats used, and a pending invite occupies a seat as soon as it is sent — so if you are at your limit and an invitation goes unaccepted, remove it to free the seat rather than waiting for it to expire.
