Invoices in the client portal
Available on the Business and Team plans.
When a client opens an invoice link, they see the real document — not a summary.
The invoice document
- Rendered in your chosen invoice template, with your logo and business details
- Full line items, quantities, prices, and total
- A diagonal status stamp where it matters — PAID, PARTIAL, OVERDUE — so the state of the invoice is unmistakable
- Any linked assets you've toggled Show on invoice
What the client sees matches the emailed invoice and the PDF exactly — one design everywhere.
That consistency is the point. A client who receives a PDF by email, then later opens the portal link from their bookkeeper's folder, should not have to work out whether they're looking at the same bill. Same template, same numbers, same layout.
Printing
A Print button produces a clean printout: the page's navigation is stripped automatically, so what comes out of the printer is just the invoice. Clients who like paper records (or whose bookkeeper does) are covered without you exporting anything.
Printing to PDF works the same way, which is usually what a client actually wants when they say they need "a copy for the file" — and it means you are not the bottleneck for a request you have no reason to be involved in.
Their invoice list
From their portal home, clients see all of their invoices in one table — number, date, amount, status — each opening the full document. Repeat clients can always find January's invoice without emailing you for a copy.
Clients only ever see their own invoices. The portal link is scoped to one client, so nothing about another customer — pricing, volume, or the fact they exist — is reachable from it.
What the portal does not show
The document is the client-facing view, and only the client-facing view. Your invoice activity log, your internal notes, and the payments table with its methods and references stay in Velosiq.
The practical rule: anything typed into the invoice's Notes field appears on the document the client reads; anything typed into the activity log does not. Keep chase notes and payment promises in the log.
Keeping it current: the portal reads live data. Record a payment and the invoice shows PAID the next time your client looks — no re-sending required.
That cuts both ways, and in your favour. An invoice you correct before the client opens it is simply correct when they do — there is no stale attachment sitting in their inbox contradicting it.
