Charge a card on an invoice

Requires a connected Stripe account. Payment recording is available on all current plans.

Client on the phone with their card out? Charge it right from the invoice — no card readers, no separate terminal.

How it works

  1. Open the invoice and click Add payment (or choose Paid/Partial from the status menu).
  2. Set the Amount — the full balance is pre-filled, or enter a partial amount.
  3. Choose Credit Card as the payment method.
  4. Enter the card details in the secure card field and submit.

The card is charged through your Stripe account immediately. On success:

  • The payment appears in the invoice's payments table with a reference like Visa •••• 4242
  • The invoice status updates automatically (Paid or Partial)
  • A permanent entry is written to the activity log

If the card is declined, you'll see the reason right in the dialog — nothing is recorded, and you can try another card.

Charging part of a balance

Unlike Stripe checkout, which always bills the invoice in full, this dialog charges whatever amount you type. That makes it the right tool for a deposit, an agreed installment, or the remainder of an invoice a client has already part-paid.

Each charge is its own payment on the invoice, so an invoice settled across three cards on three dates reads as three payments — see Record a payment for how the running balance and status follow along.

Security

Card numbers are entered into a Stripe-secured field and go directly to Stripe — they never touch Velosiq's servers, and only the brand and last four digits are kept for your records.

Velosiq does not store cards for reuse. Each charge needs the number again, which is deliberate: there is no saved-card list to leak, and no ambiguity about whether you had standing permission to bill someone.

Take card details over the phone or in person, never over email — an emailed card number sits in two mailboxes indefinitely, and no amount of care at your end fixes that.

Refunds and voids

To refund a card charge, use your Stripe dashboard (one click away via Settings → Profile → Payments → View Stripe dashboard). That's where the money actually moved, so that's where refunds are issued.

Velosiq deliberately won't let you void a card payment the way you can void cash or a cheque. Deleting the record here would leave a real charge on a real card with nothing in Velosiq to explain it — so card money is corrected where it lives, in Stripe.
